The University of New Brunswick Saint John welcomes applications for the position of Administrative Coordinator to the Dean of Business with the Faculty of Business. This is a continuing, full-time (36.25 hours per week) position with the APT employee group. The position is funded by the University Budget with a salary range of $43,118 – $53,897 per annum.

The Administrative Coordinator is solely responsible for management of the Dean’s Office, monitoring budget accounts, processing confidential information, liaison with faculty, staff, students and administrators on both campuses and the outside community.

Position summary:

  • Manage correspondence, calendars, travel arrangements and general office management within the Dean’s office.
  • Act as point of contact for partners, advisory committee, public, faculty, staff, and students.
  • Assess level and urgency of requests and issues brought to the Dean’s office and redirecting as appropriate.
  • Coordinate recruitment and advertising for the faculty and contract academic as well as main point of contact for department on the collective agreements.
  • Facilitate and coordinate material related to Undergraduate calendar copy.
  • Monitor and prepare monthly reports for the Dean and Executive Committee.
  • Prepare and/or review and track all journal entries, budget entries, travel claims, advances, personal reimbursement, purchase requisitions and hospitality forms.
  • Assist in preparation of budget submissions for all operating, research and non-space and capital accounts.
  • Prepare Faculty Council packages, act as recording secretary to the Council and other committees and create/disseminate minutes and other related materials.
  • Remain current with UNB policies and procedures and Collective Agreements.
  • Work closely with MBA staff to aid, advise, and/or support when necessary.
  • Keep abreast of relevant business news, activities, and events. Advise the executive team as appropriate.
  • Address questions, handle urgent situations, and provide proper direction in the absence of the Dean.
  • Coordinate flow of information for the faculty assessment process.
  • Design and implement databases for document processing and tracking, as required, including CAE and allocation of stipends.
  • Coordinate information submitted by teaching areas for Dean’s review/approval.
  • Provide guidance to staff/faculty, including but not limited to; opening and closing accounts, transferring funds, appropriate access levels and adherence to all UNB policies and procedures as appropriate.
  • Projects and other duties, as assigned by the Dean.

Requirements/Skills:

  • Post-secondary education in executive administration combined with relevant experience or a degree in business administration/management.
  • Minimum of 3 years related experience at the executive level with office management, budgets, and records management responsibilities. Post-secondary related experience would be considered an asset.
  • Exceptional interpersonal, organizational, administrative and time management skills.
  • Ability to prioritize and able to manage competing priorities.
  • Excellent IT/computer skills. Good working knowledge of Microsoft office and an ability to learn internal systems.
  • Ability to work independently and without supervision, and to use independent judgment to make decisions.
  • Proven ability to dissipate elevated situations in a professional manner.
