Working for the Department/Faculty

The Office of the Registrar is a key contributor to the overall student experience at the University of Alberta; from the moment, a prospective student starts thinking about university, through to convocation and the multitude of points in between.


Reporting to the Team Lead – Identity Management the Student Records Clerk is responsible for the maintenance and location of the student files, including the creation, filing, retrieval and delivery of student records to the appropriate personnel. Maintaining integrity and confidentiality of the student record is of utmost importance in this role.


Student Record: Creation, Maintenance and Retention

  • Performs first point analysis of documents received. Receives, identifies, categorizes and distributes documents received in the office.
  • Prepares student documents for scanning and digitizes the document.
  • Participates in QA processes including QA of mail, QA of scanned documents and recording of scanning log to ensure all documents scanned are accounted for in Alfresco database.
  • Assists in maintaining accuracy of student records by identifying and/or correcting inconsistent student identification numbers, visual irregularities in documents, name change and duplication of records.
  • Works on unit internal record audits as prescribed. Includes Pulling Retention Edit, participating in Document and Batch scan audit.

Transcript & Record Issuance

  • Prints and Mails Transcripts according to request and identifies the correct components required for each official transcript.
  • Corresponds with students to verify information, student requests, or to inform students of issues with documents and/or requests.
  • Requests students to resolve their encumbrances and notifies them of services impacted by indicators coded on their records, e.g., FERPA, appeals.

Incoming & Outgoing Mailing:

  • Collects outgoing mail from other units.
  • Prepares all outgoing office mail for pick-up by Supply and Management Services.
  • Distributes incoming mail and documents

Other Duties:

  • General Office duties (stocking paper, locking and unlocking office)
  • Duties as assigned during convocation, assists with special events and functions, including robing at Convocation and Installations ceremonies, set up and take down of robing room.
  • Preparation of appropriate academic apparel for the academic procession and platform party and accounting for inventory of academic apparel.
  • Performs duties as assigned during exam period such as exam supervision.

Minimum Qualifications

  • Minimum High School diploma preferably supplemented by post-secondary coursework.
  • Six months of office experience (preferably in a post-secondary environment).
  • Computer proficiency using MS Office products (Word, Excel, etc.).
  • Knowledge of office equipment such as fax, photocopier required;
  • Excellent time management, attention to detail and organizational skills.

Preferred Qualifications

  • Experience with microfilm equipment an asset.
