TanenbaumCHAT is seeking an Advancement Administrator with non-for-profit experience to join the team. The Administrator is a key position within the Advancement Department. The person in this role is responsible for the database and financial management of all fundraising initiatives such as creating all financial reports and reconciling them with the school’s Finance Department. The primary responsibilities include managing the entire gift process and receipting in accordance with CRA guidelines, assisting with annual budget planning, tracking and analyzing giving trends/responses.

The person in this position is also responsible for managing donor listings and appropriate stewardship. This is a position that requires a high level of proficiency in Raiser’s Edge NXT (RE NXT) or Raiser’s Edge in order to produce complex reports in support of the department’s activities.

The Administrator is also directly involved in the donors’ stewardship programme. Additionally, the Administrator manages all donors’ meetings, acknowledgement, recognition, communications with past, current parents, alumni and donors, to strengthen their engagement with TanenbaumCHAT and encourage their continued support.

Job Description:

Reporting to the Director of Advancement, the Advancement Administrator will be responsible for:

Database Manager

  • Oversees all the fundraising databases, portals and platforms used by the Advancement team:

– Raiser’s Edge – and all Blackbaud platforms
– Constant Contact
– CrowdChange
– Giving Gateway/Raisedays
– Third party donor platforms (eg: United Way, Benevity)

  • Update and maintain records in Raisers Edge database, overseeing imports/exports, queries and reporting
  • Process donations and scheduled payments
  • Administration of payments and pledges for all campaigns including tax receipts, donor acknowledgements, pledge agreements and statements
  • Ensures regular maintenance and yearly cleanup
  • Annual roll over of new/graduating students, parents and grandparents.
  • Outreach to families for Grandparent information and updating records

Financial Reporting

  • Weekly report of fundraising pledges and revenue for all campaigns
  • Producing reports to analyze revenue, constituency and participation rates.
  • Serve as liaison between the Advancement & Business Offices
  • Advise Business office the banking direction for all gifts
  • Monthly reconciliation of all transactions for accounts receivable
  • Track Revenue & Expenses for all programs within the Advancement Office

Campaign Administration

  • Provides administrative support to all fundraising committees
  • Attend and take minutes at meetings
  • Maintain campaign updates and solicitor assignments in Raisers Edge and follow up with the progress of solicitations
  • Schedules committee meetings
  • Supports campaign on all major gifts, multi-year gifts, solicitations, donor research, portfolio management for major gifts solicitors, portfolio management for donors
  • Oversee logistics for campaign events

Donor Stewardship

  • Donor recognition – Updating donor wall
  • Holiday cards and gifts to VIP donors

Event Management:

  • Managing invitations and RSVPs
  • Produce event reports
  • Track revenue and expenses for all events
  • Graduation responsibilities with respect to donor awards

General Duties

  • Assist Advancement team on all projects as required
  • Attend key events & meetings (some programs may require attendance outside of regular work hours)
  • Managing inventory of office supplies for Advancement Team
  • Oversee the Tribute Card Program
