The Opportunity

 

We are looking for an Administrative Assistant that will provide the department with a range of administrative support including the implementation and maintenance of internal office practices and procedures to facilitate day-to-day operations.

  • Provide front-line client service, information, and general advice to Ryerson community members.
  • Coordinate and track financial activities and generates and prepares statistics and reports.

 


Responsibilities:

  • Provide administrative and logistical support from updating reports, documents/materials, administer hiring processes and coordinate meetings and events
  • Provide client service and work direction to others, advising and addressing inquiries/requests, triaging or re-directing staff, faculty and students to appropriate staff or department
  • Recommend, implement and maintain internal office procedures, databases, tracking, reporting
  • Administer and report on budget and financial activities and prepare statistical data and reports as required
  • Is responsible for the collaboration, coordination and administration of the TAI and Faculty loading process, including the data entry, analysis, making recommendations and taking appropriate action.
  • Provides analytical support to the department leaders for various activities, programs and initiatives such as for CUPE hiring.
  • Purchases materials and supplies for an amount upto $ 5000 for any single transaction.

 


Qualifications

  • Successful completion of a post-secondary diploma
  • Minimum of 3 years of experience in a similar role within an office environment with the following requirements:
    • Experience with report preparation, database applications, office procedures/practices
    • Scheduling and event coordination involving external partners
    • Experience providing research support, accounting, financial administration

 

  • Demonstrated experience in providing general administrative support with strong time management skills to collect and analyze data for research and to coordinate logistical support (arranging for food, venue, production, and distribution of invitations) for meetings or events.
  • Strong attention to detail to assist the process of documentation and materials
  • Demonstrated client service support responding to inquiries/requests and providing specific recommendations on the best course of action.
  • Experience in implementing and maintaining internal office systems and processes to ensure efficient recording, storage and retrieval of departmental information and files, reconciling billings and charges for office operations, monitoring and tracking expenses.
  • Strong oral and written communication skills for report preparation (simple statistical and budget reports) and general correspondence.
  • Demonstrated client service skills to faculty, students and staff.
  • Demonstrated technical software skills with programs such as Word, Excel, PowerPoint, and Google Suite. Knowledge of RAMSS or similar student database operations is also required.
  • Strong organizational and time management skills are required in order to coordinate and organize program specific functions such as pre-registration and registration, meet project timelines, and to respond to issues/inquiries in a very fast-paced academic environment; ability to multi-task is essential.
  • Excellent interpersonal skills including tact and diplomacy, to ensure efficient and effective support for students and other members of the Ryerson community.
