- The External Manager Operations & Trading Room Control is part of the Due Diligence & Advisory within the Finance Department. The team is responsible for building and adopting processes and best practices related to external managers and managed account platforms within Investment Departments. In addition, the Group provides oversight of operating procedures within the Capital Markets.In this position, the Operations Coordinator will help to manage and maintain standards and controls in the External Manager Lifecycle as it pertains to supporting Capital Markets. This involves standardizing and managing the intake of information including questionnaires, policies and procedures documents, compliance attestations, etc.Although the role reports directly to the Manager, External Manager Operations and Trading Room Control, the candidate will obtain ongoing advice and guidance from all team members, through working together to achieve the team’s objectives.This role is particularly well suited to dedicated self-starters who enjoy the challenges of a fast-paced environment, who thrive on change, and who pride themselves in their excellent communication and interpersonal skills.
Who you’ll work with
In this role, you will be working closely with multiple teams including Investments, Finance Operations, Legal, Compliance, Tax, Risk and IT to assist on various transaction and system access related initiatives. You will participate in team meetings and have an opportunity to learn about different aspects of the business.
What you’ll do
Initiate and coordinate the due diligence questionnaire (DDQ) process within the Investment Departments. Ensure required materials are received in good standing and follow-up as necessary
Coordinate the External Manager Lifecycle process sign-off with the various departments to ensure they are all completed
Coordinate and correspond with Fund Administrators, External Managers, and External Providers to process transactions; acting as a central point of contact for follow-up and questions
File all External Manager documentation in Dynamics on a timely basis
Provide an ongoing operational support of externally managed investments which includes reporting of fund/manager attributes, annual DDQ updates, and due diligence manager visits
Coordinate quarterly verification of user access privileges to External Systems used by Investment Departments within the Capital Markets with the application vendor
Ability to independently coordinate the execution of various initiatives, ensuring efficiency, accuracy, and timeliness
Analyze, identify, and recommend any opportunities for improvement around inefficiencies of current processes by introducing new ideas
Proactively monitor, control and minimize outstanding inquiries by responding effectively to questions, issues or problems
Collaborate and maintain key relationships with Investments, Finance Operations, Risk, IT and External Providers
What you’ll need
Undergraduate degree with focus on business is required.
2 plus years related work experience
Analytical skills and experience with data analysis including use of databases
Proficient in Excel for report generation, data analysis
Excellent communication skills (oral and written), strong interpersonal skills and demonstrated presentation skills
Ability to work independently as well as to perform effectively in a collaborative environment
Ability to quickly grasp new concepts and work in a high-performing culture, manage to deadlines and objectives in collaboration with objectives of investment division
Demonstrable ability to support a team’s success with creative contributions and analyses, advanced organizational skills
Professional work ethic and positive attitude.
