Job Description
The IBI Hamilton Office requires part-time administration support to assist with a busy multi-discipline consulting practice. The role will fulfil important functions pertaining to office management, file management, client communication, resources, etc. In-office work will be required, but number of days and overall flexibility can be discussed.Most of the Things You’ll Work On:

  • Perform day-to-day administrative functions to support management and overall department needs
  • Schedule/coordinate appointments and meetings
  • Attend management and staff meetings; assist in documentation and meeting minutes
  • Coordinate travel arrangements including flights, travel-related visas, hotel and car reservations, as well as prepare appropriate itinerary (mainly national but may require international from time to time)
  • Assist with proposal preparation, including but not limited to team coordination, compiling materials, content, and resumes, and conducting research
  • Prepare customer spreadsheets and keep online records
  • Perform market research
  • Assist in the preparation of presentation materials as required
  • Develop and maintain a well-organized digital easy reference and rapid retrieval of information
  • General office administration as needed, including event coordination and providing support to other departments from time to time
  • Identify and implement administrative process improvements where possible
  • Compile, edit and format reports
  • Help document Pollicies and Add-in creating Presentations
  • Additional ad-hoc administrative and project support as needed
Qualifications
You’ll Need To Have:

  • Enrolment in or Completion of a Post-Secondary Program preferred. Certificate, Diploma or Degree in Office Administration is an asset
  • 1-5 years relevant administrative experience
  • Must be tech-savvy with solid skills in MS Office (Word, Excel, PPT, Outlook) with a demonstrated ability to acquire new skills and leverage technology to increase efficiency/performance Knowledge of PowerBI is an asset
  • Experience working in an Architectural engineering consulting environment is an asset
  • Experience in proposal preparation and coordination is an asset
  • Familiar with current technologies, like desktop sharing etc.
  • Experience with software such as MS Project, Adobe and CRMs are an asset
  • Knowledge of social marketing, websites and infographics is an asset
  • Must have excellent communication skills; written and verbal
  • Must be a creative thinker with an ability to multi-task, work well under pressure and meet deadlines
  • Detail-oriented with excellent organizational and time management skills
  • Self-motivated, flexible, and enthusiastic team player committed to delivering high-quality results
  • Strong ability to follow up assigned tasks
  • Strong interpersonal skills with a client service approach; comfortable managing professional level communication with both internal staff and external clients
  • Demonstrated ability to handle sensitive and confidential materials and communication while exercising sound judgment at all times
