Please note:

This is a remote position. Work can be performed anywhere within Canada.
The term of employment is full-time temporary for one year.
Incumbent must be fluently bilingual in both English and French.

Your role:

As the Departmental Assistant you will provide administrative support to the Disability Management team. You are expected to display a high degree of integrity, confidentiality, and tact in dealing with internal and external clients.

You will be responsible for entering critical data related to medical certificates and documentation for short and long-term sick leave. You will provide managers, Human Resources and Canada life with rationales for absences, expected length of disability leave, functional limitations and dates for follow up appointments, etc. You will assess and process the documents relating to the disability files with regards to the extension of the absence and return at work. You will inform and refer to the appropriate internal resources employees on disability leave when an administrative problem arises related to their case.

Other responsibilities include:

Carry out the correspondence and perform regular follow-ups with the clinics and hospitals.
Respond to the Disability Management email daily within a timely manner.
Complete several disability related Excel reports, manage invoices and other related tasks.

We are looking for a candidate with the following:

High school diploma or GED, plus related post-secondary training such as a college-level medical secretary program and/or group insurance training, or the equivalent.
Bilingualism is essential – English and French.
Minimum two years’ related experience performing duties similar to this position (i.e. disability claims administration, medical secretary and/or safety and workers’ compensation administration).
Write correspondence for internal and external medical examinations
Experience in the medical and insurance / workers’ compensation fields an asset.
Proficient in Microsoft Office.
Experience using Google Workspace (formerly G Suite).
Strong communication skills, both written and verbal, in dealing with various levels of management and medical clinics and hospitals. Tact and diplomacy are essential.
Excellent organization skills, accuracy and attention to detail.
Proven ability to juggle multiple priorities and meet deadlines.
The ability to exercise sound judgment.
