Full Job Description

The AGCO’s Communications and Service Experience Division is seeking an Administrative Assistant to provide high level, confidential administrative support to the Chief Communications and Service Experience Officer and the two divisional directors.

What can I expect to do in this role?

Responsibilities will include:

  • Scheduling, agenda setting, reporting on the status of programs and projects, and executing specific projects.
  • Conducting research and developing materials and providing administrative support.
  • Processing ordering of supplies through CSTS (Corporate Services Tracking System).
  • Scheduling appointments, meetings, and arranging for equipment (e.g., overhead projectors, flip charts, starfish phone, etc.) as necessary, ensuring attendees receive material for meetings as required.
  • Supporting the division in daily tasks, like distribution of media reports, administrative postings, etc.
  • Receiving and distributing incoming mail, couriers and redirecting to the appropriate staff.
  • Assisting with the planning and administrative duties associated with Divisional and Branch meetings.
  • Preparing reports, submissions, briefing materials, and other correspondence and documents.
  • Completing entries and maintaining records in accordance with established policies and procedures.
  • Arranging travel and accommodations.
  • Processing expense claims and handling other general office administrative duties.
  • Attending meetings and recording minutes.
  • May recommend new/revised procedures to facilitate administrative effectiveness.

  • Demonstrated previous administrative experience in a responsible role.
  • Previous experience in a similar role with the Ontario Public Service a strong asset.
  • Superior effectiveness with time management and multi-tasking to meet multiple, tight and competing deadlines.
  • Excellent document management skills with a strong attention to detail.
  • Demonstrated initiative, good judgement, discretion and tact in dealing effectively with all levels of employees, and external stakeholders and customers.
  • Excellent organizational skills, proven ability to set priorities and ability to work under pressure with minimal supervision.
  • Ability to maintain confidentiality and to work independently and as part of a team.
  • Strong communication skills, both written and verbal, to facilitate information gathering, advise individuals of decisions or action, and to formulate correspondence.
  • Extensive knowledge and experience using various software programs (i.e. MS Word, Excel, PowerPoint, Access, Outlook, MS Project, MS Visio and SharePoint).
  • Knowledge of office equipment (e.g. Photocopiers, Scanners, and Teleconference equipment)
  • Knowledge of MS Teams, Cisco WebEx, Zoom and other remote communication tools.The successful candidate must be eligible to work in Canada and will be subject to a criminal background check.
